Position Overview:
The full-time Grants Assistant position is available at the ICR affiliated with Veterans Affairs Medical Center, Washington D.C. (VAMC). We are seeking a highly motivated and detail-oriented Grants Assistant to join our team. The Grants Assistant will provide vital administrative support to our grants management team in securing and managing funding for clinical research projects.
Key Responsibilities:
· Assist in the preparation and submission of grant proposals, including compiling required documentation and ensuring compliance with funding agency guidelines.
· Maintain accurate and up-to-date records of grant submissions, awards, and reporting deadlines.
· Coordinate communication with funding agencies, sponsors, and internal stakeholders regarding grant-related matters.
· Assist in the development and maintenance of grant budgets, including tracking expenses and preparing financial reports.
· Collaborate with project teams to gather information and data necessary for grant applications and progress reports.
· Conduct research to identify potential funding opportunities and maintain a database of grant prospects.
· Provide general administrative support to the grants management team, including scheduling meetings, preparing agendas, and organizing documents.
· Help with ICR audit preparations, ensuring that all grant-related documentation and financial records are in compliance with audit requirements.
· Review grant expenses and prepare quarterly invoices for direct federal grants for ICR to prepare draw
· Set up and send quarterly reports directly from QBO to PIs with transaction detail for active grants
· Assist with grant invoice preparation, as requested
· Review grant invoices prepared by staff accountant
· Provide grant balance details and grant revenue and expense information for PI’s to meet reporting deadlines
· Advise on new grant application budgets
· Prepare information to enforce board residual funds policy to close out grant funds
Qualifications:
· Previous experience in grant administration, preferably in a non-profit or research environment.
· Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and meet deadlines.
· Excellent written and verbal communication skills, including the ability to effectively communicate with internal and external stakeholders.
· Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and experience with grant management software is a plus.
· Knowledge of clinical research terminology and regulations is desirable but not required.
· Must pass a federal background check.
Job Type: Full-time
Pay: $25.72 - $30.97 per hour
