The American Museum of Natural History is one of the world’s preeminent scientific and cultural institutions, and has as its mission to discover, interpret and disseminate information about human cultures, the natural world and the universe through a wide-ranging program of scientific research, education and exhibition.
The Museum is seeking an Executive Assistant to provide vital support to the Senior Vice President for Education, Exhibition & Public Programs and the Vice President for Operations. The Executive Assistant serves as the initial point of contact for both VPs, providing administrative support; coordinating meetings, calendars and expenses and acting as a liaison to internal/external partners.
Job duties include, but are not limited to:
The Museum is seeking an Executive Assistant to provide vital support to the Senior Vice President for Education, Exhibition & Public Programs and the Vice President for Operations. The Executive Assistant serves as the initial point of contact for both VPs, providing administrative support; coordinating meetings, calendars and expenses and acting as a liaison to internal/external partners.
Job duties include, but are not limited to:
- Handle heavy calendar management for both executives, requiring interaction with internal and external parties including senior executives, assistants, professionals, board members, donors, staff members and consultants.
- Coordinate staff meetings, conferences, visits and tours. Develop agendas. Arrange for meeting rooms or facilities. Keep executives prepared and on-schedule. Prioritize meetings and resolve calendar issues/overlap as needed.
- Arrange travel and handle expense reports.
- Track projects and project progress.
- Coordinate tech support and office maintenance requests.
- Draft and finalize correspondence, reports, documents and presentations.
- Serve as a point of contact for both executives. Screen visitors and phone calls.
- Manage and receive physical mail, prepare packages for shipping and handle messenger services.
- Maintain confidentiality of sensitive information.
The expected salary range for the Executive Assistant is $68,000/annual – $78,000/annual. This position is overtime-eligible and the AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.
Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.
Minimum Qualifications
- High School Diploma or equivalent.
- Three years experience as an executive assistant or in a comparable role.

- Must be able to remain in a stationary position (sitting or standing) for prolonged periods.
- Must be able to occasionally lift up to 20 pounds.
- Must be able to move about the Museum campus.
